Workday total rewards statement configuration looks simple on the surface: build some sections, point a template at a rule, and employees see a statement. In practice, most statement problems come from the small decisions in between, such as which rule a template uses, when a review statement is released and when the PDF is actually generated.
This guide explains how total rewards statements and compensation review statements are built in Workday, how to test them before employees see them, and how to troubleshoot a Workday compensation statement that is not generating or not showing.
Why Statements Matter More Than Most Teams Expect
Employees tend to see base pay and little else. Salary.com’s 2026 Pay Practices and Compensation Strategy Survey found that only 46% of organisations give employees a total rewards statement, and the same research points to a 31-point gap between what HR believes about pay fairness and what employees experience.
A well-built statement closes part of that gap by putting base pay, bonus, benefits, stock and payroll items in one place, in language an employee recognises. A badly built one creates a new set of questions for managers and HR to answer.
How Workday Builds a Total Rewards Statement
Workday builds a total rewards statement from three parts. Each is configured separately, and each can be the source of a problem later.
- Total rewards sections. Created with the Create Total Rewards Section task. A section holds compensation, benefits or payroll items, shown as a list or a table, with a title, explanatory text and optional link. You can override item names, emphasise an item and choose whether zero values are shown or hidden.
- Total rewards rule. Created with the Create Total Rewards Rule task. The rule sets the criteria for the group of workers who should see a given statement, for example by country, worker type or pay group.
- Total rewards template. Created with the Create Total Rewards Template task. The template combines a condition rule with one or more sections, and can present compensation, benefits and payroll data by country, or a targeted view for commission or executive packages.
Two rules of thumb save time. Build sections and rounding rules first, because a template cannot select what does not yet exist. And do not reuse a rule that another template already uses, or one that includes workers who are already associated with another template.
Template Settings That Change What Employees See
These template settings shape what an employee actually sees:
- Summary display text override. Replaces the default annual frequency label, up to 100 characters, when every item is non-annual. Enter “Monthly” if all values are monthly.
- Rounding rule. Decimal values are rounded under the rule you select. Stock values are not rounded.
- Do not sum. Excludes a section from the grand total and from the total rewards graphic, which is useful for items that should be shown but not added up.
- Display employee cost. Adds a column showing the employee-paid portion of components in a section.
- Disclaimer text. Appears at the bottom of the statement.
Workday displays all amounts in the currency of the worker’s base compensation. For international populations, decide in advance how you will explain that to employees paid or benefited in other currencies.
Compensation Review Statements: Release, PDF and Visibility
Compensation review statements are a separate mechanism from total rewards statements. They show the outcome of a review, such as merit and bonus awards, and are released through the compensation review process.
- Release Compensation Review Statement. Applies a statement layout rule and a release date, which can be before, on or after the effective date. Statements release at 12:00 AM on that date in each employee’s local time zone. You can add the task as a step in the Initiate Compensation Review Process business process.
- Generate Statement PDF. Generates PDFs for everyone in the process at the start date, time and time zone you configure.
- Set Compensation Review Statement Visibility. Optional. Makes statements visible sooner for selected organisations. It only works after the PDF exists, after release, and before the effective or employee visibility date.
- Default visibility. Without the visibility task, employees see statements on the later of the employee visibility date and the effective date.
Testing Statements Before Employees See Them
Test statements the way an employee will meet them, not just the way an administrator configured them.
- Choose test workers who cover each country, worker type and pay arrangement in scope, including people near the edges of your rules.
- Open each statement from the worker’s profile (Compensation, then View Total Rewards) and check every figure against the source worksheet or payslip.
- Run the Total Rewards Template Audit report to find any employee associated with more than one template.
- Read the labels as an employee would. Replace internal codes and jargon with plain English, and add short explanatory text where a figure needs context.
- Compare the statement with the talking points managers will use, so that the document and the conversation say the same thing.
- Where possible, do this in a sandbox or preview tenant before anything is released to live employees.
Troubleshooting: Workday Compensation Statement Not Generating
Most issues fall into a short list of causes. Work through them in this order.
- Statement missing from the profile. The worker is excluded by the total rewards rule, or no template uses a rule that includes them. Workday does not display a statement for a worker the rule excludes. Review the rule criteria first.
- Worker matches more than one template. Run the Total Rewards Template Audit report, then separate the rules so each worker belongs to one template.
- Payroll items missing or incomplete. Payroll items from earning or deduction setups, or from pay component groups, need a balance period. Check the section configuration and the balance period selected.
- Blank lines or unexpected zeros. Whether zero values are displayed is chosen per item. Confirm the setting for the item in question.
- Review statement not generated. Check that the Release Compensation Review Statement task has been run, and that the PDF generation start date, time and time zone have passed. Workday stores and sometimes displays that selection in US Pacific Time, so a report may show a different time from the one you entered.
- Visibility option unavailable. The Statement Visible option appears only after the PDF is generated. The process must also have completed within the last 18 months and have been released with the release task.
- Employee cannot see the statement on the expected date. Without the visibility task, statements show on the later of the employee visibility date and the effective date. Also note that the employee visibility date only applies if the Propose Compensation Change step is in the relevant Change Job or Edit Position process.
- Access errors. Check the security domains involved: Set Up: Total Rewards, Self Service: Total Rewards, and for review statements the Compensation Review Statements and Compensation Review Statement Visibility worker data domains.
- Statements need to be redone. Use Mass Operation Management with the Compensation Review Maintain Released Statements operation to delete released statements or generate new ones.
Pre-Release Checklist
Confirm each item before statements go live.
- Sections, rules, templates and rounding rules are all built and assigned.
- Each worker in scope belongs to exactly one template, confirmed by the audit report.
- Figures reconcile to the worksheet, payroll and benefits sources.
- Labels, frequency text and disclaimers read clearly to a non-specialist.
- Release date, PDF generation time and visibility settings are agreed and documented.
- Security domains are granted to administrators, managers and employees as intended.
- Managers have seen the statement before their employees do.
